Detailed Job Description
We require a take-charge person and strategic thinker who can seamlessly take responsibility in a fast paced environment for the coordination, budgeting, tracking and reporting of Creative & Design project efforts

Responsibilities
· Manages invoice processing for timely vendor payment using WMG’s online SAP accounts-payable system; opens and tracks department POs as needed in SAP. Maintains budget actuals.

· Maintains strong relationships with vendor partners by troubleshooting problem invoices as needed and proactively communicating with vendors.

· Coordinates and tracks particular projects ensuring timely delivery within budget and according to C&D’s high quality standard.

· Manages digital promo process, creating weekly WEA Play MPE pushes with dedicated online software; writing marketing copy; and creating html documents for weekly WEA & ADA pushes.

· Maintains Play MPE distribution lists, monitoring usage and costs, and removing dormant accounts as needed.

· Manages physical promo process, soliciting Field & CMR stakeholders for their needs, and forwarding requests to dedicated promo-CD production and distribution managers.

· Partners with VP to coordinate schedules and calendars for multiple and overlapping department projects, effectively communicating key project milestones and efforts, and adjusting scheduling as necessary.

· Works with various internal business partners to gather content, write copy, and proofread and edit materials for various C&D projects

· Proofreads and edits materials for account presentations/conventions, video reels, brochures, etc.

· Provides VP light administrative support: answering phone, scheduling meetings, arranging travel, and submitting expenses.

Special Requirements/Preferences
· 5 – 7 years administrative & music industry experience

· Retail/merchandising experience preferred

· Experience working with vendors, invoicing, and budgets

· Project management experience desirable

· Proficiency in Word, Excel, Acrobat, Microsoft Project and PowerPoint

· Proficiency on PC & Mac platform

· Proficiency in online applications/Internet

· InDesign (basic)

· Photoshop (basic)

· Dreamweaver (basic)

· Filemaker Pro

· Microsoft Access

· Adobe Acrobat

Education
Bachelor Degree Preferred
